Cancellation & Refund Policy

— Santosh Neupane, Founder · NepalyatriSignificant planning, hotel reservations, guide briefings, transport arrangements, and service commitments begin immediately after a booking is confirmed. This policy applies to all journeys booked through Nepalyatri, operated by Admire Nepal Tours And Trek Pvt. Ltd.
If you need to cancel your journey
All cancellations must be submitted in writing — via email to info@nepalyatri.com or via WhatsApp to +977 9744 373 135. The date of written notification is the effective cancellation date. The following charges apply based on the number of days before the confirmed departure date:

Please note: Any costs already incurred by Nepalyatri or Admire Nepal Tours And Trek Pvt. Ltd. on behalf of your booking — including non-refundable hotel deposits, airline tickets, helicopter bookings, or special arrangements — will be deducted from the refundable amount, regardless of the notice period.
Unused services and missed starts
No refunds will be provided in the following circumstances:
- Failure to appear at the departure point without prior written notice
- Unused services, activities, meals, or accommodation within a confirmed itinerary
- Voluntary withdrawal from a journey after it has commenced
- Early departure from the tour for any reason, including personal or family reasons
- Delayed arrival causing missed services or itinerary elements
Hotels, flights & special arrangements
Certain services within your journey carry their own non-refundable conditions, including:
- Domestic airline tickets once issued
- Helicopter bookings to Muktinath or Everest base camp area
- Peak season hotel deposits at heritage properties
- National park entry permits once purchased
- Private puja arrangements and temple-specific bookings
Where such services form part of your journey, the specific non-refundable amounts will be communicated to you clearly at the time of confirmation.
How and when refunds are processed
Approved refunds will be processed within 14 to 30 business days of the confirmed cancellation date, through the original payment method where possible.
International transfer fees, currency conversion differences, or bank processing charges may apply and will be deducted from the refund amount where incurred.
If we must cancel your journey
In the unlikely event that Nepalyatri must cancel a confirmed journey due to circumstances beyond our control — including natural disasters, government restrictions, airline route suspensions, or political instability — we will offer you:
- Alternative travel dates of equivalent or better value, or
- A full refund of all amounts paid to Nepalyatri for the confirmed journey, net of any non-recoverable third-party costs already incurred
Nepalyatri and Admire Nepal Tours And Trek Pvt. Ltd. shall not be responsible for additional expenses incurred by the traveller as a result of such cancellation, including airfare, accommodation outside Nepal, or personal expenses, unless required by applicable law.
Your coverage during the journey
All travellers confirmed with Nepalyatri are covered by travel insurance arrangements provided through Admire Nepal Tours And Trek Pvt. Ltd. for the duration of their stay in Nepal, subject to the terms, conditions, and coverage limits of the insurance provider.
Coverage details — including altitude coverage, medical evacuation, and trip interruption provisions — may be requested in writing before departure. We strongly recommend reviewing the coverage in advance.
Travel insurance does not cover amounts due under this cancellation policy. Travellers wishing to insure against cancellation costs should consider a separate cancellation-protection policy.
