Terms & Conditions
“We believe a travel agreement should be readable, honest, and clear — not a document designed to protect us from you. These terms are written to help you travel with confidence, knowing exactly what you can expect, and what we need from you in return.”
— Santosh Neupane, Founder · NepalyatriThese Terms & Conditions govern all journeys booked through Nepalyatri, a premium travel brand operated by Admire Nepal Tours And Trek Pvt. Ltd., a private limited company registered in Nepal (Reg. No. 289750/78/079). By submitting an enquiry, confirming a booking, or making payment, you agree to these terms.
What makes a booking confirmed
A booking is considered confirmed only when all three of the following have occurred:
- All required traveller details have been received by Nepalyatri
- The applicable deposit or full payment has been received and cleared
- A written confirmation has been issued by Nepalyatri via email or WhatsApp
Until confirmation is issued, your dates, hotels, guides, and services remain subject to availability. We recommend completing confirmation at the earliest opportunity to secure your preferred travel dates.
How our prices work
All quoted prices are per person, twin sharing, unless otherwise stated in writing. Prices are based on prevailing hotel rates, domestic flight tariffs, guide fees, and service costs at the time of quotation.
Prices are confirmed and locked at the time of booking confirmation. Prior to that, quoted prices are subject to revision due to:
- Changes in domestic airline or helicopter tariffs
- Changes to hotel rack rates or seasonal supplements
- Revisions to government fees, park entry charges, or applicable taxes
International airfare, airport transfers to/from Nepal, and visa fees (where applicable) are not included unless explicitly confirmed in writing.
Your responsibility at the border
Travellers are solely responsible for carrying valid and acceptable travel documents required for entry into Nepal. Nepalyatri will provide full guidance on documentation requirements prior to your journey.
For Indian citizens: Original Aadhaar card or Voter ID is accepted for entry into Nepal — no passport or visa is required. Photocopies, scanned prints, or digital copies on a phone are not accepted at immigration. The original document must be physically carried.
Nepalyatri bears no liability for denied entry or travel disruption arising from the traveller’s failure to carry required documentation.
Your protection on the journey
All travellers confirmed with Nepalyatri are covered by travel insurance arrangements provided through Admire Nepal Tours And Trek Pvt. Ltd. for the duration of their confirmed stay in Nepal, subject to the terms, conditions, limitations, and coverage of the respective insurance provider.
Coverage details, including applicable limits and exclusions, are available on request before departure. We encourage all travellers to review the coverage and, where appropriate, obtain additional personal travel insurance.
Planning around every member
Certain journeys involve walking, stairs, mountain roads, altitude, or uneven terrain. Nepalyatri designs itineraries with elder comfort and child wellbeing at the centre — but we rely on you sharing relevant information with us before booking.
Please inform Santosh of any medical conditions, mobility limitations, altitude concerns, or special requirements before confirming your journey. This allows us to arrange appropriate support — including helicopter access, wheelchair coordination, and oxygen availability — before you travel.
Travellers with significant health conditions should consult their physician before booking a high-altitude journey.
Adjusting after confirmation
Changes to confirmed bookings — including travel dates, hotel selection, or itinerary elements — are subject to availability and may incur additional charges. We will make every effort to accommodate reasonable changes, but cannot guarantee availability once confirmation has been issued.
All change requests must be submitted in writing via email or WhatsApp and will be acknowledged by Santosh directly.
Where you stay — and our commitment
Hotels named in your itinerary are confirmed subject to availability at the time of booking. In the rare event that a named property becomes unavailable due to circumstances beyond our control, Nepalyatri will provide an alternative of equivalent or higher category and standard, and will inform you promptly in writing.
We will not substitute a property with a lower standard without your explicit agreement.
Events beyond anyone’s control
Nepalyatri and Admire Nepal Tours And Trek Pvt. Ltd. shall not be liable for delays, modifications, cancellations, or losses arising from events beyond our reasonable control, including but not limited to:
- Natural disasters, earthquakes, or severe weather
- Political unrest, government restrictions, or border closures
- Airline disruptions, aircraft groundings, or route suspensions
- Public health emergencies or pandemic-related restrictions
- Road closures or landslides affecting mountain access
- Temple closures due to religious or government orders
In such events, we will work with all available options to protect your experience and investment — and will communicate with you directly and promptly.
What we are responsible for — and what we are not
Nepalyatri acts as a travel organiser and coordinator. We carefully select every hotel, guide, vehicle, and service provider. However, we are not liable for the independent acts, omissions, delays, or failures of third-party service providers — including hotels, airlines, helicopter operators, or restaurant partners.
Our liability to you, where it exists, shall not exceed the total amount paid to Nepalyatri for the confirmed journey, except as required by applicable law.
Jurisdiction and disputes
These Terms & Conditions are governed by the laws of Nepal. Any disputes arising from or relating to a booking with Nepalyatri shall be subject to the jurisdiction of the courts of Kathmandu, Nepal.
We believe most concerns are best resolved through direct conversation. If you have a question or concern at any point — before, during, or after your journey — please reach Santosh directly on WhatsApp: +977 9744 373 135.
